CSV User Import for Parents (Administration)

INHALTSVERZEICHNIS

You can use CSV user import to create parent accounts in itslearning and link them to the corresponding students. The connection is established using the student's ID.

Prerequisite: The students must already exist in itslearning. If they have not yet been imported, first complete the CSV user import for students.

1. Prepare the CSV file

First, collect the parent information together with the student data in a spreadsheet. This will serve as the basis for the import.

1.1 Required information

The following information is required for the import:

ColumnDescription
Child numberUsed to distinguish between siblings and assign them correctly when preparing the import files.
Parent: IDA unique ID for the parent. You can generate this yourself. For example, you can use the same ID system as for teachers and students, adding an "E" as a prefix.
Parent: First nameThe parent's first name.
Parent: Last nameThe parent's last name.
Parent: UsernameThe username used to log in to itslearning.

Note: If a parent has more than one child at your school, they must be listed for each child. Always use the same ID for the same parent.

1.2 Include multiple parents

Depending on how your school is organised, a shared account may be used for a family. In this case, the name fields can be adjusted accordingly, for example by entering both first names ("Anna + Lars").

If parents need separate accounts, add further columns to the spreadsheet, for example:

  • Parent: ID 2
  • Parent: First name 2
  • Parent: Last name 2
  • Parent: Username 2

The following preparation and import steps must be repeated for any additional accounts.

2. Create the CSV files

Prepare the collected data for import.

  1. Filter the spreadsheet by the Child number column.
  2. Copy the relevant data into separate worksheets, for example "Parent 1" and "Parent 2".
  3. Save each worksheet as a separate CSV file.

This will give you separate import files for linking parents to their respective children.

3. Import parents

Import the prepared CSV files into itslearning one at a time using CSV user import.

3.1 Map user data

During the import, map the relevant columns in your CSV file to the corresponding fields in itslearning.

  1. Select Parent as the Profile.
  2. Map the First name, Last name and Username fields.
  3. Map the ID and Synchronisation field.
  4. Select the Guest role in the hierarchy.

Mapping the user data generally follows the same process as CSV user import for teachers and students.

3.2 Define the hierarchy

You can organise parents in the hierarchy according to their children's year groups and classes.

To do this, select the corresponding student hierarchy entries as sublevels.

In the lower section of the import interface, specify how parents should be linked to the corresponding students.

  1. Open the Parent linking section.
  2. Select the following options from the dropdown menus:
FieldSelection
Synchronisation field in import fileStudent ID
Matching synchronisation field for childSynchronisation key

Click Next to continue the import.

Important: Repeat the import for all remaining CSV files to ensure that links to siblings and, where applicable, additional parents are also established.
