Dutch integrations - Timetable Integration Notification – Assigning Appointments
What is happening?
The timetable maker has published new lessons or tests that could not (yet) be automatically assigned to a subject. As a result, lessons or tests may be missing from the calendars in itslearning. The attachment to the ticket shows which appointments are affected. Action may be needed, but often it is not — this depends on what should happen with the appointments.
Option 1: Placement in subjects
- One or a few subjects are not (yet) present: as soon as the relevant subjects have been created via the connection with the administration system, the appointments will still appear in the itslearning calendars. You do not need to do anything for this.
- Note 1: if the timetable maker uses a class group name that differs from the class group name in the administration system, please specify the exact name of the desired subject in the attachment to the ticket.
- Note 2: if the subject in question is not automatically created via the connection with the administration system, you can create the subject manually (and link the correct class groups to it via hierarchy synchronisation). Once this has been done, the appointments will appear in the itslearning calendars the following day.
- In exceptional cases where a subject exists twice, the timetable integration cannot unambiguously determine which subject should be used for the appointments. In this case, remove the duplicate subject; the appointments will then appear in the itslearning calendars the following day.
- If you wish to use combined subjects, you must:
- Create the relevant combined subject (in the correct organisation) and link the correct class groups to it via hierarchy synchronisation, and
- Specify the exact name of the combined subject in the attachment to the ticket.
Option 2: Placement in personal calendars
If the appointments do not need to be placed in a subject, you can instead indicate that they should be placed in personal calendars. To do so, place a cross in the "Personal" column in the attachment to the ticket.
Option 3: Ignoring appointments
If the appointments may be ignored, you do NOT need to respond.
Tip: if appointments for a particular subject should always be ignored, regardless of the class group(s), you can let us know by replying to the ticket.
What do we need from you?
Please enter any processing instructions in the Excel file attached to the ticket and return it to our support desk by replying to the email message. We will then ensure this is processed as soon as possible.
What if you do nothing?
As long as it is not known what should happen with the published appointments, they will not appear in the itslearning calendars. Tickets that receive no response are automatically closed after 14 days. If you have any questions, please do not hesitate to contact us.
