1 Overview
Administrators of an organisation can add events that are visible to all users of that organisation, for example holidays or teacher training days. Events can be added manually, or by adding an external calendar to the organisation. Events from the external calendar are then synchronised with the itslearning calendar and shown to all members of the organisation.

2 Prerequisites
Prerequisite: To add an external calendar for an organisation, you must be an administrator of that organisation at hierarchy level.
The URL you enter must support the iCal format.
3 Adding an external calendar to an organisation
3.1 Open the Add external calendar form
- Open the calendar.
- In the left menu, under External calendars for organisations, click Add external calendar.

3.2 Fill in the form
- In the Organisation list, select the organisation that the events should be visible to. Only organisations for which you are an administrator at hierarchy level appear in the list.
Note: If an organisation already has 3 external calendars set up, it will not appear in the Organisation list.
- Paste the iCal URL into the iCal URL field.
- Enter a name for the calendar in the Calendar name field.
- Click Save.


Important: If the URL does not support the iCal format, you will see an error message when you try to save.
3.3 How events from the external calendar appear
Events from an external calendar show an icon before the calendar name. These events are read-only and cannot be edited from the itslearning calendar. It is updated every 10 minutes.
Note that even though the itslearning iCal link is updated every 10 minutes, the other calendar solution you’re using is likely to also have delays. This can be from a couple of minutes to a couple of hours, depending on the solution you are using.

Note: Events imported from external calendars are not included in the itslearning iCal feed. If users subscribe to the itslearning calendar in an external application, events originating from an external calendar will not appear there.
4 Editing or deleting an external calendar
You can change the name of an external calendar, or remove it, from the left menu.
- In the left menu, under External calendars for organisations, find the calendar.
- Click the … button to the right of the calendar name.
- Choose Edit calendar or Delete calendar.
