Getting started: The Calendar

1. What You'll Accomplish

By the end of this guide, you'll have added your first calendar event and understand how to navigate the three calendar views. This process takes about 10 minutes and gives you the foundation for managing your teaching schedule and course events.


2. Before You Begin

• Ensure you have access to at least one course in itslearning • Check with your administrator if you need permission to manage calendar events • Have details ready for your first calendar event (date, time, description)


3. Quick Start Workflow

Step 1: Access the Calendar

Click "Calendar" in the main navigation menu at the top of your screen.


Step 2: Explore the Calendar Views 

You'll see three tabs at the top:

  • "Schedule": Shows your consolidated calendar view by day, week or month.
  • "Plans": Displays course plans by week

Checkpoint: You should see your enrolled courses listed on the left side, each with a coloured circle for easy identification.


Step 3: Add Your First Event 

Click "Add event" button or click directly on any date/time slot in the calendar grid.


Step 4: Complete Event Details 

  • If you clicked in the calendar, a short form will pop up where you add a title and a description. This event will occur at the time and date you marked in the calendar. If you press "show more options" you will have the same possibilities as if you used the "add event" form. 
  • In the "Add event" form, fill in:
    • From/To: Set your date and time
    • Recurring event: Checkbox that opens up the possibilities to make this a recurring event
    • Calendar: Select which course calendar to use
    • Title: Add a clear event name
    • Event description: Include relevant details for participants


Step 5: Save the Event 

Click the green "Save" button to create your event.


Step 6: Verify Event Display 

Your event should now appear in the calendar grid and will be visible to students enrolled in the selected course.

Checkpoint: The event appears as a coloured block matching your course colour on the calendar.


Step 7: Test Event Management 

Click on your created event to view details. Notice the options to edit (pencil icon) or delete (bin icon).


Step 8: Filter Your View 

Use the course checkboxes on the left to show/hide specific course calendars for a cleaner view.


4. Essential Next Steps

Now you can:

  • Add events by clicking any date or time slot
  • Drag and drop events to reschedule them
  • View other users' calendars (if you have permission)
