Manage users, accounts and passwords

To add a new user 

In the Admin tab go to 'Users and access rights'. You can add a user manually or import from a file. 

Remember to select their profiles, whether Administrator, System administrator, Staff, Student, Parent of Guest.

Editing an existing user

If you want to edit an existing user click the Admin tab and then Users and access rights. Search for the user whom you want to assign different rights, and click the edit icon (pencil icon). Now you will be able to change the fields that you want to change and see other tabs such as Hierarchy, Projects and courses etc. where changes also can be made. 

Note: If users are handled by an integration, manual changes might lead to inconsistencies and there will be a warning saying: "This user is managed by an integration". Editing this user could lead to discrepancies between itslearning and the integration. A similar warning appears if users are imported from file.

Password management

When users don't log in with Single Sign-On, you can manage login credentials under 'Admin > User and access rights’.

To share the itslearning native usernames and passwords with users, or to reset passwords, you can choose to print them out or send as email, using the options in the 'Operation' dropdown.

  • To print the login credentials for each user on a single page, select 'Print new password'.
  • To print the login credentials of all selected users in a list, select 'Print new password in list format'.
  • To email the login credentials to the selected users, use the option 'Send email to user with new login details'.

Printing or emailing passwords will always create new passwords for the selected users, current passwords are never available in plain text. The created passwords are by default for one-time use only and have to be changed immediately after login. This can, at your option, be changed by unchecking 'Force password change on next login' in the confirmation dialog.

Note: To create a new password for a user yourself, use 'Edit user > Password' instead.
